Control when extracted data needs human validation before export.
Review modes
| Mode | Behavior |
|---|---|
| Automatic | No review required. Files proceed to export after extraction completes (based on export trigger settings). |
| Manual | Every file requires human review and approval before export. |
| Conditional (Based on confidence) | Only files below the confidence threshold are routed for review. High-confidence files skip review. |
Set the review mode on the workflow Review tab. New workflows start on Conditional with a 90% confidence threshold, so extracted data is checked before it reaches export until you change it.
Confidence-based review
When using Conditional review:
- Set the Review Confidence Threshold with the slider (0% to 100%, in 1% steps).
- Optionally enable Highlight Mismatches to flag fields that look inconsistent.
- Files at or above the threshold proceed automatically.
- Files below the threshold enter the review queue.
The default is 90%. Lower it if too many clean documents are landing in the review queue, raise it if errors are slipping through to export.
A field marked Required (Instinct/Mastery) that comes back empty on a document counts as 0% confidence for that field, so it fails the threshold and routes the document to review regardless of how the rest of the fields scored. See Extraction Models for field options.
Review workflow in Files
When a file needs review:
- Open the file from Files.
- The document viewer and extracted fields appear side by side.
- Correct any wrong values inline.
- Click Approve to release the file for export, or reject if the document cannot be processed.
Files in review can be locked while someone is editing. If another team member opens a locked file, they see who holds the lock.
Review statuses
| Status | Meaning |
|---|---|
| pending_review | Waiting for a reviewer to open the file. |
| review | A reviewer currently has the file open. |
| awaiting_approval | Review started but approval not yet completed. |
| approved | Reviewer approved the extracted data. |
| rejected | Review was rejected or the review session ended without approval. |
Session and lock behavior
When you open a file for review, the system acquires an edit lock so two people do not change the same file at once.
- If you navigate away or close the tab, the lock is released.
- If your session ends while reviewing, the file may return to rejected or pending_review depending on progress.
- Another reviewer can open the file once the lock is released.
Export trigger interaction
Review mode works together with export settings:
| Export trigger | With manual review |
|---|---|
| After Review | Export runs only after approval. |
| After Extraction | Export may run before review completes - use After Review when validation is required. |
For compliance-sensitive workflows, use Manual or Conditional review with After Review export trigger.
Coming soon features
The following review settings appear in the UI but are not yet available:
- Reviewer Assignment (owner only, specific users, or group)
- Track Edits (audit of field changes during review)
