Email import lets users send document attachments to a dedicated workflow email address. It is available on Growth and Scale plans.
When to use it
- Scanners that send documents by email
- Shared inboxes where invoices or receipts arrive
- Vendors or clients who already email files to your team
Configure after creation
The Add Workflow wizard only selects Email Import. You must configure the import address settings after the workflow is created:
- Go to Workflows.
- Find the workflow.
- Open the Actions menu (three dots).
- Click Edit.
- Open the Import tab.
- Confirm Import Method is Email Import.
- Copy the Generated Email Address.
- Add Allowed Senders.
- Set Attachment Types.
- Click Save Changes.
Generated email address
Each email workflow has a generated address. Send document attachments to that address to ingest them automatically.
Use the copy button beside the generated address to avoid typos.
Allowed senders
Allowed senders control who can import files by email.
| Setting | What it does |
|---|---|
| Allowed Senders | Accepts attachments only from listed email addresses. |
| Add Sender | Adds another approved sender. |
| Delete | Removes a sender. At least one sender must remain. |
Only add trusted sender addresses. This prevents unrelated or malicious attachments from entering the workflow.
Attachment types
Choose the file types this email workflow accepts. Common options include PDF, JPG, PNG, TIFF, HEIC, BMP, DOC, and DOCX.
Send documents
- Create a new email.
- Attach the document files.
- Send it from an allowed sender address to the generated workflow email address.
- Open Files to confirm the attachments were imported.
Common issues
| Issue | Fix |
|---|---|
| Email arrives but file is not imported | Verify the sender is listed under Allowed Senders. |
| Attachment is ignored | Confirm the file type is enabled. |
| No generated address appears | Save the workflow, reopen Edit, and check the Import tab. |
Email import is best for simple intake. Use API import when uploads come from another application.
