Workflows define how documents are imported, extracted, reviewed, and exported. Each workflow is tied to one document type and one processing pipeline.
What you can do
- List, search, and filter workflows on the Workflows page
- Create workflows with the Add Workflow wizard
- Edit import, extraction, review, and export settings after creation
- Activate or deactivate workflows without deleting them
- Delete workflows you no longer need
Create a workflow
- Go to Workflows and click Add Workflow.
- Choose your model - select a Pretrained model (for example Invoice) or a custom Instinct or Mastery model.
- Workflow details - enter a name and description, choose an import method and export destination, then continue.
- Configure fields - enable or disable fields returned by the model. For Instinct and Mastery, add custom fields as needed.
- Review and create - confirm the summary, then save.
The creation wizard is intentionally fast. It lets you choose the model, import method, export destination, and fields without showing every advanced setting.
Configure after creation
If the workflow uses anything other than Web import or Web export, configure it after the workflow is created:
- Go to Workflows.
- Find the workflow in the table.
- Open the Actions menu (three dots).
- Click Edit.
- Open the Import tab and finish import setup.
- Open the Export tab and finish export setup.
- Click Save Changes.
For example, Email import needs allowed senders, API import needs a generated token, Google Drive needs a connected folder, and FTP needs server credentials. Export destinations such as API, Google Drive, and FTP also need their own settings before they can deliver data.
Workflow editor tabs
| Tab | Configures |
|---|---|
| General | Name, description, active/inactive status, language, text type (printed or handwritten), and notification settings (UI alerts, email, webhook). |
| Import | How documents enter the workflow - Web, Email, API, Google Drive, FTP, and more. |
| Extraction | Model selection, flash or deep tier, and field schema. |
| Review | Automatic, manual, or confidence-based approval rules. |
| Export | Export trigger, destination, format, and delivery settings. |
Active and inactive workflows
Use the Active switch on the General tab to control whether a workflow processes new documents.
| Status | Behavior |
|---|---|
| Active | New imports are accepted and files are processed through the pipeline. |
| Inactive | Existing files remain in Files, but new imports are not processed for this workflow. |
Deactivate a workflow when you are pausing a document type or testing configuration changes without deleting history.
Workflow list filters
On the Workflows page you can filter by:
- Model type - Pretrained models or custom (Instinct/Mastery) workflows
- Review required - workflows that require human review before export
Use search to find workflows by name or description.
Recommended setup order
- Create the workflow with the right model and import method.
- Upload a few test files from Files (for Web import) or trigger your import channel.
- Open processed files and verify extracted fields.
- Adjust extraction fields, review rules, or confidence threshold if needed.
- Configure export destination and format for your downstream system.
See Extraction Models, Import Methods, Review and Approval, and Export Destinations for detailed configuration guidance.
