Uploading and Imports

How documents enter the system and last sync status.

How documents enter the system and appear in your Files list.

Upload from dashboard

The Add file button appears on the Files screen for every workflow, regardless of its configured import method - so you can always upload a file manually, even if the workflow normally receives files through another channel (Email, API, Google Drive, FTP/SFTP, etc).

  1. Select the workflow from the workflow selector.
  2. Click Add file.
  3. Choose one or more files from your computer.
  4. Files appear in the list with pending status and begin processing automatically.

Supported types depend on workflow settings. Common types include PDF, JPG, PNG, TIFF, HEIC, BMP, DOC, and DOCX.

Maximum file size is 5MB per file, for both dashboard uploads and API uploads sent as a file. API uploads can also send a URL for the API to fetch instead - see API Import - which raises the limit to 100MB per upload.

Other import channels

Documents can also arrive through channels configured on the workflow Import tab:

Channel How files arrive
Email Attachments sent to the workflow import address.
API Uploaded via REST API with a workflow token.
Google Drive Pulled on a scheduled sync from a connected folder.
FTP/SFTP Pulled on a scheduled sync from a remote folder.

OneDrive, Dropbox, and Box import are coming soon. Zapier and n8n can send documents on every plan - see Zapier and n8n.

Choosing the right workflow

Each file is processed by exactly one workflow. Before uploading:

  • Confirm the workflow model matches your document type.
  • Check that the workflow is Active on the General tab.
  • If the workflow's normal import method is something other than Web (Email, API, Google Drive, FTP/SFTP), a manual dashboard upload still works but bypasses that channel - use it for one-off files, not as a replacement for the configured import.

Uploading to the wrong workflow is a common cause of missing or incorrect fields.

Last sync indicator

For scheduled import workflows (Google Drive and FTP), the Files toolbar shows Last sync with:

  • A relative time (for example "2 hours ago")
  • A status color indicating success, warning, or failure

If sync stops updating, open the workflow Import tab and verify credentials, folder path, and connection status.

After import

Once a file is accepted:

  1. Status moves from pending to running while the pipeline processes it.
  2. Extraction runs using the workflow model and field schema.
  3. If review is required, the file waits in the review queue.
  4. When complete, the file becomes available for export or download.

See Statuses and Export for the full status flow.

Tips

  • Upload a small test batch before connecting a high-volume import source.
  • For email import, add allowed senders before going live.
  • For API import, store the token securely and rotate it if compromised.
  • For FTP and Google Drive, use Test or Last sync to confirm connectivity before relying on automation.
