When review is required
A file needs review when the workflow uses Manual or Conditional review and the file is routed to the review queue. Files in pending_review, review, or awaiting_approval status are ready for a reviewer.
The header shows the shared review queue for the file's workflow - how many files are still awaiting review, and how many you've personally approved today.
File detail view
The file detail page has three main areas:
- Document viewer - original PDF or image with page navigation, zoom, and word/zone selection tools
- Line items - any table-type fields (like invoice line items), shown as a full-width spreadsheet-style grid below the document
- Results panel - single-value extracted fields with confidence scores and inline editing
Document viewer
- Navigate between pages using thumbnails or page controls
- Zoom and scroll for detailed inspection
- PDFs and images are both supported
- The field you're currently editing is highlighted directly on the document so you can see where its value came from
Line items
Table-type fields (for example invoice line items, payment schedules) appear as their own grid below the document - add or delete rows, clear or delete the whole table, and click a cell to correct it the same way you correct a single-value field. Automatic table detection and column re-mapping is coming soon; the controls for it are visible but not yet active.
Results panel
- Each field shows its label, extracted value, and confidence score
- Fields are split into Needs review and Confirmed groups - a field is Confirmed once its confidence is 90% or above, or once you confirm it yourself
- Click Confirm to accept a lower-confidence value as-is, or click the value to correct it - either action moves it into Confirmed
- Use the Needs review / All / Confirmed tabs to filter the list
- Low-confidence fields may be highlighted when Highlight Mismatches is enabled on the workflow
Confidence scores
Each field includes a confidence score from 0% to 100%. For Instinct and Mastery workflows, the score reflects the automatic verification of each extracted value - see Value verification in Extraction Models.
| Score range | Typical meaning |
|---|---|
| 90% and above | High confidence - automatically counted as Confirmed |
| 70% to 89% | Moderate - worth a quick check |
| Below 70% | Low confidence - verify against the original |
Workflow Conditional review uses the overall file confidence against your threshold to decide if review is needed.
Approve, skip, and reject
| Action | Result |
|---|---|
| Approve & next | Extracted data is accepted and export runs based on the workflow export trigger, then the next file awaiting review in this workflow opens automatically. |
| Skip | Closes the file without saving, approving, or rejecting it, and opens the next file awaiting review. |
| Reject | File is marked rejected. It does not proceed to export until reprocessed or corrected. |
| Return to queue | Leaves the file as-is and takes you back to the file list for this workflow. |
Skip and Reject are under the Skip menu next to Approve & next.
Keyboard shortcuts
The review screen is fully operable from the keyboard - the shortcut bar at the bottom of the document view is a reminder. A Keyboard button next to the Word/Zone tools opens the full list, including a checkbox to hide the on-screen hints if you already know them.
| Key | Action |
|---|---|
| Tab | Move to the next field |
| Enter | Open the active field for editing, or save it and move to the next field needing review |
| Esc | Cancel the current edit |
| W / Z | Switch between picking a word or a zone on the document |
| M | Switch to manual (typed) entry |
| T | Table selection - reserved for the automatic table detection feature, coming soon |
| E | Jump to the next field that needs review |
| Cmd+Enter (Mac) / Ctrl+Enter (Windows) | Approve & next |
While editing a line item cell, a separate set of shortcuts applies:
| Key | Action |
|---|---|
| Tab / Shift+Tab | Move to the next / previous cell, saving the current one first |
| Enter | Move to the same cell in the next row, saving the current one first |
| Esc | Cancel the current cell's edit |
| Alt+N (Windows) / ⌥N (Mac) | Add a new row |
Edit lock
When you open a file for review, an edit lock prevents two reviewers from changing the same file simultaneously.
- If another user holds the lock, you see their name and must wait.
- The lock is released when you navigate away, close the tab, or complete the review.
- If a session ends unexpectedly, the file may return to rejected or pending_review.
Correcting fields
- Click the field value you want to change.
- Type the corrected value, or click Select on page to pick the value from the document itself - click individual words, or switch to the Zone tool and drag a rectangle to capture the text inside it.
- Save the change - this also confirms the field.
- Click Approve & next once all fields are verified.
Corrected values are used for export. Field edit tracking is coming soon.
Side-by-side review
The document viewer and fields panel are displayed together so you can verify extraction against the original without switching screens. This is the fastest way to catch formatting errors, missed line items, or misread handwriting.
Reviewer role
Users with the Reviewer role can approve and reject files. Member users have view-only access. Admin and Owner users can manage workflows and also review files.
See Review and Approval for workflow-level review configuration.
